The situation
The challenge
Wyoming REALTORS needed to mobilize roughly 3,000 members for an upcoming legislative session. Their member data lived in the National Association of Realtors system. Their outreach tool was VoterVoice. The two platforms didn't talk to each other, and both vendors pointed them toward a third party. For a non-technical organization, that meant a staffer manually auditing, exporting, and re-uploading 3,000 records. Realistically, that process would take over 50 hours.
The core problem wasn't just a missing API connection. Neither system was the source of truth. Without a clean, authoritative data layer in the middle, any sync would be unreliable. Email addresses were inconsistent across systems. Active and inactive membership statuses needed to be correctly distinguished for targeted outreach. And the client needed to check sync status themselves without calling a developer every time something looked off.
The work
What was built
A Google Sheet became the centralized intermediate database: pulling from the NAR official API, verifying records against Wyoming REALTORS' internal data, and pushing clean active or inactive status into VoterVoice.
Fail-safe matching logic uses the unique NAR ID as the primary identifier when email addresses are missing or inconsistent, preventing duplicate or lost records. Sync status and error output were built into the database so staff can self-diagnose issues like missing addresses or incorrect emails. Parallelized subworkflows in n8n then cut the automated sync's own run time from roughly an hour down to 15 minutes, on top of eliminating the original 50-plus hours of manual work.
